How to record currencies without disguising uncertainty
A converted total is useful only when another reviewer can see how and when it was calculated.
Keep the source currency visible
If a medical quotation is issued in pula and the main schedule is in rand, record both. The original amount anchors the figure to its supporting document. A separate column can show the converted amount used for planning.
Name the rate and date
Exchange rates move. Record the source, exact rate and date applied rather than writing “current exchange rate.” Use one convention consistently unless there is a documented reason to depart from it.
Do not convert official fees too early
Where an authority collects payment later in another currency, label the rand value as an estimate. State whether bank charges and exchange spreads are included.
Test the arithmetic
Confirm whether the quoted rate expresses rand per foreign unit or the reverse. Retain enough decimal places for the calculation, then apply one stated rounding convention to the displayed schedule.
A reviewer should be able to reproduce the conversion from the schedule and source document alone.
